Role Purpose Reporting to the Facilities Manager and working as part of the overall Facilities Team, the Assistant Facilities Manager (m/f/d) will manage a range of soft services and provide the necessary support to ensure the efficient and effective running of the site. What this job involves Manage the team providing first line soft services to the site(s), including reception, mail operations, meeting & events, cleaning, waste & recycling, vending & food servicesMonitor and maintain office equipment and suppliesManage and maintain regular contact and meetings with relevant vendors - to report on issues, recommendations and cost estimatesWeekly walk-round with the vendor cleaning manager ensuring cleaning quality standards are maintainedManage Trouble Ticket (Remedy) requests (helpdesk) - interface with internal customersand action queries promptly in line with service level agreementsManage daily health & safety issues – maintaining regular scheduled meetings and records of the fire and safety teams/fire drills/safety equipment/trainingTravel/Visitors’ support – interface with locally approved hotels – assist Client global travel & hotel managers in information gathering and communicating up to date information to staff.Assist in the organizing of internal and external Client eventsManaging the quality of conferencing facilitiesManage food and kitchen facilities – provide direction to housekeepersRaise purchase ordersManage Wiki pages and other communication channels for the site(s)Deputise / provide cover for Building Operations Engineer / Facilities Manager when appropriateResponsible for all other duties and tasks as assigned Every day is different, and in all these activities, we’d encourage you to show your ingenuity.
Your key responsibilities include: Data Management & Analytics Liaise with the client's procurement team and local JLL site teams to collect and manage utility data (energy, waste, and water) to establish performance baselinesOversee ongoing tracking of utility usage, carbon emissions, and cost dataConduct meter and submetering data analytics to identify trends and opportunities for operational improvementsIdentify and resolve data quality issues, working with clients to implement corrective actions and improve data capture efficiencyProduce monthly reports on utility use and waste data for clients and stakeholders Project Development & Cost Savings Develop a pipeline of energy and water projects ranging from optimization to capital decarbonization initiativesContribute to cost reduction and savings with a target to be confirmed annually Stakeholder Engagement & Coordination Coordinate with site teams, suppliers, and vendors on sustainability action plan activities, including awareness campaigns and international sustainability eventsServe as the primary point of contact for site sustainability champions and drive the champion program for GermanyEngage with JLL facility managers to provide expert advice on all aspects of energy and environmental sustainability Compliance & Standards Support compliance with JLL's standard energy and sustainability operating procedures and PlaybookAssist with ISO 50001 annual audits, F-gas reporting, and waste data assurance auditsEnsure adherence to certified ISO 50001 processes where applicable Strategic Collaboration Support the JLL Sustainable Operations platform in EMEA, including presenting best practices to 70+ professionals across the region and contributing to playbook and tool reviews Sound like you?
